An important idea for dealing with problems and challenges faced by expanding businesses:

Amidst the modern competitive business environment and technological developments, we can see that businesses on the way up tend to encounter many problems and challenges to which importance must be attached to finding special ways to tackle them. Knowing and finding solutions to general problems arising in expanding businesses is of paramount importance if the business is to continue expanding and prospering. One essential aspect is to ensure that the steps taken or solutions to the problems of today do not become additional problems in the future and there is no question that many of the problem solving methods of the past may no longer cut it with the problems occurring these days. Effective leadership shall therefore help to build opportunities and lead to the rise of your business in such a way that it is sustainable in the future.

In this issue of Target magazine, we shall be presenting three out of seven methods for dealing with the problems and challenges encountered by expanding businesses, especially risk and errors which tend to have an impact on business expansion and exchanging ideas for dealing these challenges. We shall be taking a look at the other four methods in our next issue owing to the space limitations allotted for this column.

Expanding businesses tend to face all kinds of problems and challenges and the important things for a business to do are to constantly keep a close eye on the market, plan in advance, ensure cash flow and financial management, solve problems, apply suitable systems, have the right know-how and attitude, and embrace change.

  1. Keeping a close eye on the market: Prior to opening a business, market research is not something you can do once and it is done; business conditions are constantly changing so market research should be an ongoing process – otherwise, you place yourself at risk of making decisions based on out-of-date data, which can lead to bankruptcy. You have to understand that however successful you may become, the more competitors will be biting at your heels and challenging what you are doing. Enjoying market dominance one day may not necessarily be as good as average sales for the two to three months to come. What is clear is that loyal customers can switch to another supplier in a flash if what they are offering is better. While goods or services may have been on the market since time immemorial, growth in sales and profits can still start to fall. Understanding into just where your goods are in the life cycle thereof can help you know what to do to optimize profits while at the same time, you will have to invest in innovation so as to improve or create new products which can generate profits from the production line to the market.

Sources of data

Data publications can be useful for providing data on current market conditions and trends due to business expansion, your own experience, and your capacity to provide more value. You need to build a deep insight into what customers want, what exactly you are doing, and which marketing techniques are likely to yield the best results. You might want to spend some time chatting to the more important of your customers. Your suppliers and other business partners can prove to be important sources of market information. Furthermore, you should encourage your staff to share what they know and what they have heard from customers about your goods or services market. IT systems can facilitate the disaggregation and analysis of key data, such as consumer buying behavior and what customers like. You might want to conduct your own specific studies and research; for example, in order to test how customers respond to a new product, you may want to do this yourself or hire a freelance researcher or market research company.

  1. Planning in advance: Planning which sounded reasonable to you in the past may not work in the present. As mentioned above, market conditions are constantly changing so you need to review and update your business plan regularly (see Part 1 for details). As your business expands, you have to develop and improve in harmony with the changing environment. For example, a focus point should be to keep giving customers new products in order to build customer relations which result in profits and optimize business growth from existing customers. Existing business relations have the potential to be enhanced to achieve profits and maintain a credible circulating capital. New business relations can increase sales but may be less profitable and sustainable (see Part 3 below).

In addition, all businesses need to jump on new experiences because it involves a certain level of risk which can only elicit pride in your existing customers. You should therefore diversify the products you offer your customers in order to spread this risk by continuing with your current business model but also expand rather than simply taking than just taking the old road to growth. There are therefore multiple strategic options – you could, for example, try out other suppliers or create a franchise, which could be the ideal opportunity for expansion. The important thing is not to think to yourself that the success of today will mean that you will be able to benefit from these opportunities automatically; all these important changes necessitate planning of the same nature as that which you used when you started up.

Conversely, you will also need to be careful not to overdiversify. Ask yourself whether a new idea will fit with your strengths and overall vision and especially, to where it will lead your business. If you are single-mindedly concentrating on new developments, such changes will mean risks. Of paramount importance is that you review the risks you face and create contingency plans to cater to any unexpected problems which may arise.

  1. Cash flow and financial management: Good cash flow management is of superlative importance to all areas of business but is especially important for expanding businesses because it can be a crucial factor in limiting your expansion. Trading over capacity can lead to bankruptcy so cash flow management is of cardinal importance as well as being a key factor in business planning and the analysis of new opportunities. You may miss an important high-potential business opportunity due to resource limitations and if you go through with the opportunity, it may mean that the principal capital required to support your main business could run out, leaving you dry.

All components of operating capital require careful control in order to make the best use of cash flow. Effective credit management and tight control over non-performing loans (NPLs) is prerequisite. You might want to consider looking at ways to mobilize capital to pay off your commercial debts.

Additionally, control of surplus goods stuck up in warehouses and effective management of their supply can become an increasingly troublesome problem during business expansion. The storage of out-of-date goods may become a problem and accumulate over time. You may want to work with your suppliers to reduce the goods delivery cycle or change suppliers and employ just-in-time (JIT) management by not having to store goods in warehouses at all. Advance planning can help you gauge financial needs and suitable cash flow management. For many expanding businesses, such important decisions may involve attracting external investors to provide the capital needed to take your business to the next level.

In our next issue, we shall be looking at additional changes and methods to deal with challenging business teething problems during the adolescence of growth so as to exchange lessons learned from these problems.
